How to set up the WhatsApp Business API (2026 guide)

Most guides to the WhatsApp Business API explain the dashboard and skip the parts that actually block people: the phone number, display name approval and business verification.

This guide covers what to prepare, what happens during Meta's embedded signup, which approvals take time, and why setups most often fail.

It is written for any business setting up WhatsApp for customer messaging — notifications, service conversations or campaigns — whichever platform you choose.

What you need before you start

Get these ready first. Missing any one of them is the usual reason a ten-minute setup turns into a week.

  • A Facebook account to sign in with
A personal account is fine — it is only used to confirm your identity.
  • A phone number not registered on WhatsApp
The number must not be active on the WhatsApp or WhatsApp Business app. If it is, delete that account first. This is where most setups stall.
  • Access to that number
You need to receive an SMS or voice call on it to verify ownership.
  • Your business name and website
Used for your display name, which Meta reviews against your business.
  • A payment method for your Meta account
Meta bills messaging charges directly to you, separately from any platform fee.

What happens during embedded signup

Embedded signup is Meta's guided flow, opened from inside the platform you are connecting. In order, it:

  1. 1Creates or selects your Meta Business Portfolio.
  2. 2Creates a WhatsApp Business Account inside it.
  3. 3Adds your phone number and verifies it by SMS or call.
  4. 4Sets the display name customers will see.
  5. 5Grants the platform permission to send and receive messages on your behalf.

With the prerequisites ready, this takes minutes, not days.

The approvals that take time

Display name approval

Meta checks that your display name matches your business — typically your website and branding. Generic names, names that do not appear anywhere on your site, or names that imply a different company are rejected.

Business verification

You submit company documents to Meta, such as a trade licence or registration certificate. It usually takes days rather than hours. You do not need it to start sending, but it is required to raise your messaging limits and is a prerequisite for the verified badge.

Message templates

Every message you start — marketing, notifications, one-time passcodes — needs a pre-approved template. Approval ranges from minutes to around a day. Marketing copy is rejected more often than anything else, usually for wording or miscategorisation.

Messaging limits explained

Limits count the unique customers you can start conversations with in a rolling 24-hour period. Replies to customers who message you first do not count.

StageUnique customers per 24 hours
New number250
After verification and healthy use1,000
Next tiers10,000 → 100,000
Top tierUnlimited

You move up tiers as you send at volume while keeping a good quality rating. Quality is driven by how recipients react: blocks and spam reports lower it, and a low rating can stop you moving up or pause templates.

The 24-hour rule

After a customer messages you, you can reply freely for 24 hours, and each new message from them restarts that window. Outside it, you can only send approved templates.

Common reasons setup fails

Number already on WhatsApp
Delete the app account on that number, then retry signup.
Display name rejected
Use a name that clearly matches your website and business, then resubmit.
Template rejected for promotional wording
Categorise it as marketing, or remove promotional language from utility templates.
Business not verified, so limits stay low
Complete business verification with documents that match your registered details.
No payment method, so sending stops
Add a valid payment method to your WhatsApp Business Account in Meta Business settings.

Engagetic runs embedded signup inside the product, so connecting WhatsApp and getting your first templates submitted happens in one place. See WhatsApp on Engagetic.

Frequently asked questions

Do I need a new phone number for WhatsApp Business API?

Not necessarily a brand-new one, but the number must not be registered on the WhatsApp or WhatsApp Business app at the moment you connect it. Many businesses use a dedicated number so the team's everyday phones are unaffected.

Can I use my existing WhatsApp number?

Yes, but you must first delete the WhatsApp account on that number from the app (Settings → Account → Delete account). Chat history in the app does not carry over to the API. Once deleted, the number can be registered through embedded signup.

How long does WhatsApp Business verification take?

Business verification usually takes a few working days once Meta has the right company documents, and longer if documents do not match your business details. You can start sending before it completes; verification is needed to raise messaging limits.

How much does the WhatsApp Business API cost?

Meta charges for template messages based on category (marketing, utility, authentication) and the recipient's country, billed directly to your Meta account. Replies inside the 24-hour customer service window are free of Meta charges. Any platform you use charges separately.

Why was my WhatsApp template rejected?

The most common reasons are promotional wording in a utility template, variables with no surrounding context, formatting errors, or content that breaches WhatsApp's commerce and business policies. Rewrite plainly, categorise correctly and resubmit.

What is the 24-hour customer service window?

When a customer messages you, a 24-hour window opens during which you can reply with any free-form message. Each new customer message restarts the window. Outside it, you can only send approved templates.
